The deposit invoice
Fifty percent on mobilisation, billed from the Completion Form — and only after the brief is approved. Direct-owner jobs take a deposit; AIA / GC jobs with retainage do not.
- Bill a deposit invoice from the Completion Form
- Send it and mark it Sent, then record the payment when it lands
- Know which jobs take a deposit and which do not
Billing the deposit
- 01Open the Completion Form
From the brief. It opens on the Contract & SOV tab.
- 02Build the schedule of values if it is not there
The editor is prefilled from the quote and must foot to the cent. On a direct-owner job it includes the Mobilization / Deposit line.
- 03Create the deposit invoice
Terms are Due Upon Receipt. The deposit is billed on the first invoice only.
- 04Open the invoice PDF and email it
The branded PDF carries the Chase remittance details. Send it from your own mailbox.
- 05Click Mark Sent
Only after it has actually gone. Only a Draft can be marked Sent.
- 06Record the payment when it arrives
Customers pay by ACH, wire to Chase, or check, referencing INV-#### / Q-####.
Refusals you will meet here, and what they mean
| Refusal | What to do |
|---|---|
| "This brief is not approved yet." | Go back to the approval step. The Completion Form opens for work once admin has approved the brief. |
| "The brief's Contract Amount is zero. It is set when admin approves the brief." | Same cause — the approval has not set the contract amount. |
| "This brief is AIA / GC with retainage — those jobs take no deposit. Bill it with a normal invoice once work starts." | Correct behaviour. Retainage jobs do not take a deposit. |
| "The proposed schedule has no deposit line (Deposit Pct on the brief is 0)." | If this job should take a deposit, set the deposit percentage on the brief first. |
| "This job already has an invoice. The deposit is billed on the first invoice only." | The deposit has already been billed. Use a progress invoice. |
| "… only a Draft can be marked Sent." | It is already Sent or beyond. Check the invoice status. |
| "Only the latest invoice can be undone." | Undo works back to front. Undo the newest one first. |
