Close the job out
Punch list signed, final invoice, sworn statement and waivers, then Complete and Closed Out. Retainage release is Eric's click and nobody else's.
- Get the punch list signed by the right person and record it
- Move the job to Complete, then Closed Out, and know what each gate needs
- Know the six conditions that must all be true before retainage is released
Closing out, in order
- 01Walk the punch list
Use Site Visit / Punch List in the /assess/ app. It produces a PDF and attaches it to the existing Opportunity.
- 02Get it signed
The signer must be the Owner or the GC. Record the date, who signed, and which of the two roles they are — the Completion Form refuses anything else.
- 03Finish the billing
Record the remaining square feet installed. The job cannot be marked Complete below 100%.
- 04Mark the job Complete
On Dates & Closeout, after the actual completion date is entered.
- 05Final invoice, sworn statement and waivers
The final invoice goes out from the Completion Form. The sworn statement wording is verbatim to Michigan statute, and waivers are tracked per invoice on the Closeout Docs tab.
- 06Mark the Work Order Completed
In CRM. Retainage release checks this.
- 07Mark the job Closed Out
Once the punch list is recorded and no pay application is still in Draft.
The status gates, exactly as the system checks them
| Moving to | What must be true |
|---|---|
| In Progress | The job is Approved, Released to Ops or Material Ordered. Eric can also bring it back from Complete. |
| Complete | A schedule of values exists; the schedule shows 100% complete (enter the remaining square feet first); the actual completion date is entered. |
| Closed Out | The job is Complete; the punch list sign-off is recorded; no pay application is still in Draft. |
Takeaways
- The punch list must be signed by the Owner or the GC — no other role is accepted.
- Complete needs a schedule of values, 100% recorded, and an actual completion date. Closed Out needs the punch list and no Draft pay applications.
- Only Eric releases subcontractor retainage, and only when all six gates are met.
