Quoting, shop-drawing, and sample systems
The tools around the bid: quotes, drawings, chips, and inventory.
- Log every quote issue and every sample leaving the shop
- Know when a shop drawing is in play
- Treat inventory like money sitting on a pallet

Quote hygiene
Every quote has a number, a date, a validity window, exclusions, units, and a PDF in CRM and in the opportunity folder. When the client asks for a 'quick number,' we still record the assumptions. Assumptions are where we get hurt. Admin's job is to keep the latest quote obvious so nobody sends Rev A after Rev D.
Samples & inventory
| Control | Why |
|---|---|
| Sample log (who / system / color / date / job) | Stops vanishing chips and supports color approvals |
| Color approval in writing | Protects us when the room 'looks different in fluorescent' |
| Stock vs. job-reserved kits | Prevents stealing Job A's resin for Job B's emergency |
| Cycle counts | We cannot bill what we cannot find |
Takeaways
- Samples are sales. Log them.
- Quotes without follow-up dates are wishes.
- Shop inventory is not a junk drawer.
