Submit the Order Brief
Submit hands the brief to admin. It refuses until eight things are filled in, and it tells you exactly which ones. Every brief needs approval — whether or not the pricing moved.
- Submit a brief and read the refusal when it will not go
- Fix each of the eight Complete These to Submit items
- Explain why approval is unconditional
The eight things Submit checks, in the order it reads them
| # | Field | What the refusal says when it is wrong |
|---|---|---|
| 1 | Ship Date | Ship Date |
| 2 | Onsite Delivery Date | Onsite Delivery Date |
| 3 | Install Start Date | Install Start Date |
| 4 | Completion Date | Completion Date |
| 5 | Work Type | Work Type (blank — pick Subcontractor or Internal Crew), or Work Type reads '…' — it must be Subcontractor or Internal Crew |
| 6 | Retainage Basis | Retainage Basis |
| 7 | Color Verified | Color Verified (blank — it must read Yes), or Color Verified reads '…' — it must read Yes |
| 8 | Material Labor Verified | Material Labor Verified (blank — it must read Yes), or Material Labor Verified reads '…' — it must read Yes |
Every other message Submit can return
| Message | What it means and what to do |
|---|---|
| "… submitted. Status is Submitted and it is waiting on admin approval — every brief needs it, no exceptions." | Success. The approval email has gone to admin. Nothing more for you to do on the brief. |
| "… is already Submitted and is waiting on admin approval. Nothing was changed." | Someone already submitted it. If it needs to change, have the admin send it back first. |
| "… is already Approved — it cannot be resubmitted. Nothing was changed." | The brief is approved and locked. Changes from here go through a change order, not a resubmit. |
| "*** RED FLAG — BELOW COST TO COMPLETE — CEO / PRESIDENT APPROVAL REQUIRED ***" | The brief prices below the cost to complete. It needs Eric, or it needs the price fixed. Nobody clears their own flag — nothing on the brief was changed. |
| "NOT SUBMITTED. The Change Log on … (CRM refuses more than 32,000)…" | The Change Log field is full. Move the oldest entries out, keep a copy, save, then Submit again. |
| "SUBMIT DID NOT COMPLETE on …" | The record did not write. No email was sent. Fix what the message names and submit again. |
Takeaways
- Submit checks eight fields, in order, and names every one that is missing. Nothing is changed when it refuses.
- Every Order Brief requires admin approval — this is not conditional on the money moving.
- A brief below cost to complete raises a red flag and needs CEO / President approval. Nobody clears their own flag.
